QR event tickets from Google Sheets

Create QR tickets from any spreadsheet or Google Form responses. Map your own headings, define ticket categories and redeem with volunteer PINs, or choose the separate email-pass workflow.

For workshops, community events, admissions and meal coupons. Turn a confirmed registration into an emailed pass, then record entry using the same response sheet.

From registration to entry

  1. Collect registrations. Link your Google Form to a response sheet.
  2. Configure your event. Map columns, quantity, custom fields, messages and staff PINs in LeadAI.
  3. Deploy your script. Copy the generated code into the sheet’s Apps Script project. Set up columns and its web app URL.
  4. Confirm registration or payment. Approve through the menu, or enable the optional trigger for trusted editors’ confirmation edits.
  5. Deliver the pass. Send a QR email and prepare a one-click WhatsApp link. Email acceptance does not guarantee inbox delivery.
  6. Check in guests. Scan the pass, enter a staff PIN and admit the required quantity. The sheet records used and remaining tickets.

Your event, your fields

Use participant name, ticket quantity, category and custom response fields in email and WhatsApp templates. The QR contains the pass link rather than personal details.

Partial check-in

A booking for two people can be used one ticket at a time. Repeated requests cannot redeem the same action twice; used and cancelled passes are rejected.

Clear responsibilities

You control your Google Sheet, authorisation and deployment. Confirm payments independently and use the system only with attendee consent.

QR ticket questions

Is QR ticket automation free?

Yes, with an active LeadAI account. It remains available when your 15-day paid-tools trial ends. Google quotas and any external service costs still apply.

What does the organiser need to set up?

A Google Form response sheet, the generated Apps Script, staff PINs, an authorised Google account and a deployed web app. Test the complete workflow before issuing passes.

Is payment verified automatically?

No. An authorised organiser checks payment or registration separately. A QR image alone is never proof of payment.

Does a scan immediately consume a ticket?

No. The pass page shows its status. A staff member must enter valid credentials and confirm the quantity entering.

Which third parties receive information?

Your data stays in your Google services. QR images for email use QuickChart, which receives the pass URL and its token. Keep that token private and use this workflow only if acceptable for your event.

Only need a QR for a link?
